Industry: Higher-ed agency · Channels: Google, Meta, TikTok, LinkedIn, Bing
The problem
Kanahoma runs paid media across Google, Meta, TikTok, LinkedIn, and Bing for multiple higher-ed institutions. The tracking underneath it was failing. Conversion tracking was inconsistent or missing across dozens of accounts, tags weren’t firing, UTMs were malformed, and server-side tracking hadn’t been implemented. Each platform claimed full credit for the same enrollments.
Investigating a lead drop meant days of manual work across spreadsheets that broke easily. Scaling meant hiring more people to do the same manual work, which shrank margins as the portfolio grew.
What we built
Tracking and attribution
Server-side CAPI, direct platform conversion actions, and closed-loop tagging across every channel, so each platform reports on real, verified conversions instead of claiming the same enrollment.
Pipeline modernization
Manual exports and Google Sheets replaced with direct CRM-to-BigQuery pipelines, Dataform transformations, and automated daily pulls.
Dashboards and daily trackers
Structured dashboards with consistent definitions and built-in QA, so double-counting and refresh failures stopped being a weekly fire drill.
Reliability and incident response
Standardized refresh cadences replaced manual triage. Incidents get reported, scoped, assigned, and resolved, often the same day.
The agency efficiency angle
Reduced workload per employee. Increased profitability with the same staff.
Before, every new client meant repeating the manual reporting work from scratch, so scaling meant hiring. After, standardized infrastructure replicates across accounts, and the team spends its time on growth work instead of spreadsheet maintenance.
The results
- 100% client retention across every account we touched
- 5 platforms tracked and verified: Google, Meta, TikTok, LinkedIn, Bing
- 0 spreadsheets BigQuery and Dataform replaced the manual workflow
- Embedded we became Kanahoma’s analytics and tracking engineering arm
- Same-day critical reporting incidents closed
- Scalable infrastructure built to grow without adding manual headcount
An agency’s ability to retain clients depends on its ability to defend its numbers. Kanahoma had the performance; it lacked the infrastructure to prove it. We built the reporting layer that makes the client relationships defensible: verifiable tracking, pipelines that don’t need babysitting, and dashboards leadership trusts.
